Start a client onboarding project when a deal closes

The hand-over from sales to delivery is where details get lost. Creating the project from a template when the deal is won means every client gets the same first steps.

Software used

What happens

When

A deal is marked won in your CRM.

Then

  • A project is created from your onboarding template in your project tool.
  • The client's name and deal notes are copied in.
  • The account manager is assigned the first task.

How the tools connect

Through an automation tool such as Zapier, Make, n8n or Power Automate, which watches for the event in one app and acts in the other.

Set it up

  1. Build the onboarding project template in your project tool first.

  2. In your automation tool, use the CRM's "deal won" trigger.

  3. Add a step that creates a project from the template, using the deal name.

  4. Win a test deal and check the project.

Menus change, so these steps say what to do rather than where to click. Each company's help pages have the current screens.

Watch out for

  • Check that both apps are supported by your automation tool before you start. Support and the events available differ between Zapier, Make, n8n and Power Automate.
  • Keep the template up to date. The automation copies whatever is in it.
